The prompt
I need to give feedback to someone on my team and I want it to be specific, fair and kind. Help me draft what I'll say. What happened (facts only, as best I can): [describe the situation: when, what they did or didn't do] Why it matters (the effect on the work, the team or customers): [describe the impact] What I'd like to see instead: [the change you're hoping for] Our working relationship: [for example, they're new / we get on well / this has come up before] How I'll deliver it: [in person / video call / written] Please: 1. Write the feedback as I'd say it, in under 120 words. Use plain language. Describe the behavior, not their personality. 2. Add one open question I can ask afterward to hear their side. 3. Point out any words in my notes that sound like blame or assumptions about their intent, and suggest neutral replacements. Don't soften it so much that the point gets lost. Ask me questions if anything is unclear.
